CHALLENGE

The client was using HubSpot company wide, but over time the way that the data was input and used had evolved, leading to issues with data duplication, redundant properties, workflows and forms. They required a full data review and rationalisation.

RESULTS

The data review created a cleaner and more effective HubSpot environment, removing obsolete properties, redundant forms, and managing duplicate data. Workflows were checked and updated, and reporting was updated, to ensure accurate and clean data system-wide

The Challenge

The client was an established HubSpot user, having adopted the system 2 years ago. Since initial implementation, the way data was input and used had evolved, leading to issues with data duplication, obsolete properties, redundant workflows and forms. The client required a full data review and rationalisation to give them confidence in the data and associated HubSpot processes.

The client relied on HubSpot for access to client information, all reporting on pipeline, finance, customer satisfaction, and for client relationship management tools and automation. Over time, the client had begun to notice gaps in data, data duplications, errors in workflows and automation and were conscious of the existence of multiple redundant forms, landing pages and call-to-actions.

The client was no longer confident that the data they were looking at was correct, and felt there was a risk that workflows were failing in places because of changes in data capture. They required a full review of their customer data and system processes, with corrections and updates made to ensure correct data, accurate reporting and effective workflow triggers and actions.

The Solution

A full HubSpot review was carried out with corrections made to contact, deal and company properties. Automation workflows were reviewed for errors and all obsolete forms, landing pages and other assets were archived. Reporting and workflows were reviewed versus the data property changes.

As part of this project a system hand book was created to guide team members through best practice and as a tool for new joiners accessing the system. A HubSpot house-keeping framework was also introduced to ensure that data was managed effectively on an ongoing basis, with regular scheduled reviews and updates.

The Results

Following the data review and rationalisation, the team were again confident that their data and processes were accurate and effective and they were back in a strong position for ongoing business development and effective, confident use of HubSpot.
